The use of a photo box for employee photos

The employees in your company get the opportunity to photograph their own employee photo and/or update it at a fixed location or at rotating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
This gives your staff the option to fully identify themselves at any time with their individual employee photo.

The staff photos can be independently optimized to the appropriate format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.

The solution

You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to the photo booth, and read the instructions for the necessary actions on the monitor.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data can be read directly from the company ID card. The employee data recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.

After the employee photo has been taken, the background of the photo can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.

The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the photo taken with the in-house employee data record. We would be happy to help your IT department determine the connection.

A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can happen in several forms at the same time.
So you always have the right photo for
the CRM system, XING, Instagram, LinkedIn
etc. are available.

Of course, each file can also be “branded” with logos and/or the name and position of the employee will appear directly on the image.

How does the photographed person get his picture?

So that not only the CRM system or the ActiveDirectory come into possession of the new recordings, three different ways are available for the employees to receive their picture digitally.

  1. Download from an online gallery
    At the end of the photo sequence, a code is displayed on the screen or printed out, which the company employees can use to download their original photo and the various formats for the various target systems.
  2. Enter the email address at the end of the photo sequence.
    In this case, the captured photo is immediately sent to the employee's mailbox.
  3. Download from an offline gallery via QR code
    The photo box provides its own WLAN which the employee has to dial into.
    At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where employees can load their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
