The mission goal

The employees in your company get the opportunity to photograph their own employee photo and/or update it at a fixed or regularly changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
This gives your staff the option to identify themselves to 100% around the clock with their individual employee photo.

The staff photos can be cut to the right format, freed from disturbing elements in the background and optionally saved in various formats and aspect ratios.

The solution

You can place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the operating instructions for the necessary actions on the touchscreen, similar to the photo booth.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo booth can also be set up in such a way that the data can be read directly from the employee ID card. The employee data recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a confirmation option for internal/external use of the image.

After photographing the employee portrait, the background of the recording can be automatically replaced with one or different backgrounds specified by you. Likewise, the head of each photo is analyzed, adjusted to a specified size and placed in a specified position on the final image.

The image is saved in a size and format you define (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the file. We would be happy to support your IT department in specifying the interface.

A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place in several forms at the same time.

How does the employee get his picture?

To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for employees to get their photo as a file.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN, which the company employees must dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the e-mail address at the end of the photo sequence.
   The captured photo is immediately sent to the employee's mailbox.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the various formats for the various target systems.

Additional uses

In order to make the best possible use of the acquisition, you have the following options:

The need for investment

The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
