What should be achieved?
The employees in your company have the option of photographing and/or updating their own employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that extra personnel are not needed on site.
You give your teams the chance to always fully identify themselves with their individual employee photo.
The personal photos can be automatically cut to the best possible format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You place a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box and read the instructions for the necessary steps on the touchscreen, just like at the passport photo machine.
The screen serves as a touch screen in parallel as an input terminal for the required data, e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read immediately from the company ID card. The information recorded in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a release option for internal / external use of the recording.
After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the photographed portrait and the in-house employee data record takes place via the name of the picture. We would be happy to support your IT department in specifying the interface.
A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can take place at the same time in different dimensions.
So you always have the right photo for
LinkedIn, Twitter, XING, Outlook, the CRM system, Instagram
etc. ready.
Logically, each file can also be “branded” with company logos and/or the employee's designation and position can be immediately visible on the image.

How do the staff get their picture?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to get his picture digitally.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to copy the original recording and the different versions for the various target systems. - Enter the e-mail address at the end of the photo sequence.
The photo taken is then immediately sent to the employee's mailbox. - Download from an offline gallery via QR code
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where employees can load their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
Other deployment options
To make the most of your investment, you have the following options:
- Photo attraction at customer events & conferences
- Use at trade fairs to produce personalized “flyers”
- Recording of biometric passport photos and ID photos
- Pictures of groups of visitors, e.g. after a tour

The cost frame
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
Customer ratings
Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Zurich.
Both at WWZ AG in Zurich and at Haufe Lexware, the system is very well received by employees.
