What should be achieved?

The employees in your company have the opportunity to create and / or update their individual employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the option to identify themselves at any time to 100% with their personal employee photo.

The staff photos can be automatically optimized to the appropriate format, freed from disturbing elements in the background and, if desired, saved in several sizes and aspect ratios.

A suggested solution

You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary steps on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and / or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read in directly from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.

Following the recording of the employee portrait, the background of the picture can be automatically exchanged for one or different backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and positioned on the final image at a defined point.

The image is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The file name is used to compare the captured image with the in-house employee data record. We would be happy to help your IT department define the interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in parallel in many dimensions.

How does the employee get the photo?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new recordings, there are three different ways for employees to get their photos digitally.

1. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed out on the touchscreen, which the employee can use to load his original recording as well as the different versions for the various target systems.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery in which the employee can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box.

To get the most out of your investment, you have the following options:

The cost frame

The price for the purchase of a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
