The mission goal

The staff in your company have the opportunity to create and/or update their own employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need additional staff on site.
You give your employees the chance to identify themselves completely with their own employee photo at any time.

The personal photos are automatically optimized to the best possible format, freed from annoying elements in the background and optionally saved in several sizes and aspect ratios.

A suggested solution

You can place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to the photo booth, and see the operating instructions for the necessary actions on the display.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the business card. The information collected in this way is later part of the file name of the employee photo taken.
Optionally, a privacy screen with a checkbox for internal/external use of the image can also be displayed.

Following the recording of the employee portrait, the background of the recording can be automatically exchanged for one or many backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved portrait and the in-house employee data record takes place via the file name. We would be happy to support your IT department in clarifying the connection.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in parallel in various dimensions.

Of course, each file can also be “personalized” with the company logo and/or the employee's name and position can appear directly on the image.

How does the employee get the photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to receive their photo as a file.

1. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's e-mail inbox.
2. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the various sizes for the different target systems.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the staff has to dial into.
   At the end of the recording, a QR code will appear on the screen. That QR code leads to an offline gallery where staff can download their shots. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

In order to make the best possible use of your investment, you have the following options:

The need for investment

The cost of purchasing a Photo Box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
