The use of a photo box for employee photos

The staff in your company are given the opportunity to photograph and/or update the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or human resources department).
Crucially, this is accomplished through a self-service process, eliminating the need for extra on-site human resources.
You give your employees the opportunity to fully identify themselves at any time with their personal employee photo.

The staff photos can be automatically adapted to the appropriate format, removed from disturbing elements in the background and, if desired, saved in many dimensions and aspect ratios.

Our proposed solution

You can place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees will sit down in front of the photo box like in a passport photo machine and read the operating instructions for the necessary actions on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the employee ID card. The information collected in this way is later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a confirmation option for internal/external use of the recording.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison between the recorded image and the internal employee data record takes place via the file name. We would be happy to support your IT department in determining the connection.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in parallel in several forms.
So you always have the best photo for
LinkedIn, the CRM system, Facebook, Instagram, Twitter
etc. within easy reach.

Of course, each file can also be “personalized” using the company logo and/or the employee's name and position will appear directly on the image.

How does the employee get his photo?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the staff to get their picture digitally as well.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the staff can use to download their original photo and the various sizes for the various target systems.
2. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's e-mail address.
3. Download from an offline gallery via QR code
   The Photo Box provides its own WLAN which the staff has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which the staff can load their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

Alternative uses

To get the most out of your investment, you have the following options:

• Use at trade fairs to produce personalized “flyers”
• Use at staff parties (summer party, Christmas party ...}
• Recording of biometric passport photos and ID photos
• Recordings of groups of visitors, e.g. after a tour of the company

The need for investment

The cost of purchasing a perfect photo box starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
