What should be achieved?

The employees in your company get the chance to photograph and/or update their own employee photo at a fixed location or at a rotating location (e.g. in the casino or company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that extra employees are not needed on site.
You give your employees the chance to identify themselves completely around the clock with their own employee photo.

The personal photos can be independently cut to the ideal format, removed from disturbing elements in the background and optionally saved in different formats and aspect ratios.

A suggested solution

You position a photo booth optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, employees can sit down in front of the photo booth and read the instructions for the necessary actions on the screen, just like with a photo booth.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read immediately from the employee ID card. The information collected in this way later becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the photo can also be set up.

After the photograph of the employee picture has been taken, the background of the photo can be automatically exchanged for one or several backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned at a defined point on the final image.

The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the photograph taken with the in-house employee data record. We would be happy to support your IT department in defining the import interface.

A biometric check and an adaptation to a biometric ID photo are available as options.
The image can be output synchronously in several formats.

Logically, each file can also be “branded” with company logos and/or the employee's designation and position can be immediately visible on the image.

How does the employee get his picture?

To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to get his photo digitally.

1. Enter the email address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's email inbox.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to copy the original recording and the various formats for the various target systems.
3. Download via QR code from an offline gallery
   The photobooth provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The need for investment

The investment for the purchase of such a perfected photo box starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
