The mission goal

The employees in your company have the option of creating and/or updating the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that you do not need extra employees on site.
You give your staff the option to identify themselves at any time to 100% with their own employee photo.

The personal photos can be automatically cut to the best possible format, freed from annoying elements in the background and, if desired, saved in different formats and aspect ratios.

The solution

You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo booth, similar to the photo booth, and see the instructions for the necessary steps on the display.

The screen serves as a touch screen at the same time as an input terminal for the necessary data such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data can be read directly from the company ID card. The data collected in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the photo.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or different backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned at a defined position on the final image.

The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the saved image and the internal employee data record via the name of the file. We would be happy to support your IT department in determining the interface.

A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place synchronously in different dimensions.

WhatsApp & Co, Twitter, Outlook, Instagram, the CRM system, LinkedIn, XING
etc. are available.

Of course, each file can also be "personalized" with company logos and/or the name and position of the employee will appear directly on the image.

How does the employee get their photo?

To ensure that the CRM system or Active Directory is not the only one to benefit from the new images, there are three different ways for employees to receive their photo as a file.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the different formats for the various target systems.
2. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

Additional deployment options

In order to make the best possible use of the acquisition, you have the following options:

• Use at employee parties (summer party, Christmas party ...}
• Photo attraction at customer events & conferences
• Employee photos (as already described)
• Recordings of groups of visitors, e.g. after a tour
• Use at trade fairs to produce personalized “flyers”
• Creation of biometric passport photos and ID photos

The need for investment

The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT, making it worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to test the system beforehand on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
