The use of a photo box for employee photos
The field staff in your company have the opportunity to photograph and/or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra personnel on site.
You give your workforce the option to identify themselves to 100% at any time with their individual employee photo.
The personal photos can be independently adapted to the ideal format, removed from annoying elements in the background and saved in different sizes and aspect ratios if desired.
A suggested solution
You place a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo booth like at a passport photo machine and read the instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the required data such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read directly from the employee ID card. The employee data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the photo can also be displayed.
Following the photograph of the employee picture, the background of the recording can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in determining the connection.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in different formats at the same time.
So you always have the ideal photo for

etc. within easy reach.
Logically, each file can also be “branded” with company logos and/or the employee's name and position will appear right on the image.

How does the photographed person get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new images, there are three different ways for the sales representative to choose from to also receive his image as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the sales representative can use to download his original photo and the various formats for the various target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN, which the sales representative must dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the sales representative can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's mailbox.
Other uses

The need for investment
The price for purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained directly.
