What should be achieved?

The field service employees in your company have the opportunity to create and / or update the individual employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need extra staff on site.
You give your employees the opportunity to always fully identify themselves with their individual employee photo.

The staff photos can be automatically optimized to the ideal format, removed from annoying elements in the background and optionally saved in different shapes and aspect ratios.

Our proposed solution

You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees will sit down in front of the photo box in the same way as with a passport photo machine and read the instructions for the necessary actions on the monitor.

The monitor serves as a touch screen at the same time as an input terminal for the required data such as B. Personnel number, first name, family name and / or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data can be read in immediately from the employee ID card. The data collected in this way are then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the photo can also be displayed.

Following the photograph of the employee picture, the background of the recording can automatically be exchanged for one or more backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and placed on the final image at a defined point.

The image is saved in a size and aspect ratio that you specify (e.g. square for the ActiveDirectory). The file name is used to compare the photo taken and the in-house employee data record. We would be happy to help your IT department specify the interface.

A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place in different sizes at the same time.
So you always have the best possible photo for
Instagram, the CRM system, Twitter, LinkedIn
etc. lying ready.

Logically, each file can also be “personalized” with company logos and / or the name and position of the employee are immediately visible on the picture.

How does the employee get his picture?

So that not only the CRM system or the ActiveDirectory can benefit from the new recordings, the field service employee has three different ways to get his picture as a file.

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed out on the screen, which the field service employee can use to download his original recording and the various versions for the different target systems.
2. Download via QR code from an offline gallery
   The photobooth provides its own WLAN which the sales representative has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery in which the sales representative can save his photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the Photo Box.
3. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's inbox.

Alternative deployment options

In order to get the most out of your investment, you have the following options:

• Use at sales force parties (summer party, Christmas party ...}
• Employee photos (as described above)
• Use at trade fairs to issue personalized “flyers”
• Recording of biometric passport photos and ID photos
• Photo attraction at customer events & conferences
• Photos of groups of visitors, for example after a presentation

The need for investment

The cost of purchasing such a customized photo booth starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
