What should be achieved?

The staff in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that you do not need additional personnel on site.
You give your employees the chance to identify themselves completely with their own employee photo at any time.

The staff photos are automatically adjusted to the best format, freed from disturbing elements in the background and saved in several sizes and aspect ratios if desired.

The solution

You position a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo booth and see the operating instructions for the necessary steps on the screen, similar to the photo booth.

The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up so that the data can simply be read from the employee ID. The data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a sharing option for internal/external use of the recording.

After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.

The photo is saved in a size and aspect ratio that you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the file. We would be happy to help your IT department clarify the import interface.

As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can take place in several formats at the same time.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position can appear directly on the image.

How does the employee get the photo?

To ensure that the CRM system or Active Directory alone does not get hold of the new images, there are three different ways for the workforce to choose from to get their image as a file.

1. Download from an offline gallery via QR code
   The photobooth provides its own WLAN which the workforce has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where the staff can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the staff can use to download their original photo and the different sizes for the various target systems.
3. Enter the email address at the end of the photo sequence.
   The photo taken is sent immediately to the employee's mailbox.

The need for investment

The investment for the purchase of a photo booth optimized in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
