The use of a photo box for employee photos
The staff in your company have the option of photographing and/or updating the personal employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your teams the option to fully identify themselves with their own employee photo around the clock.
The staff photos can be automatically adjusted to the best format, removed from disturbing elements in the background and optionally saved in various sizes and aspect ratios.
The solution
You can place a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photobooth in the same way as with the passport photo machine and see the operating instructions for the necessary actions on the touchscreen.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the business card. The employee data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the image can also be displayed.
After the employee picture has been photographed, the background of the photo can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the file. We would be happy to help your IT department clarify the interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image can be output in many formats at the same time.

Of course, each file can also be “branded” with company logos and/or the employee's name and position can be directly visible on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory can benefit from the new images, there are three different ways for the workforce to choose from to also receive their image digitally.
- Download via QR code from an offline gallery
The photobox provides a private WLAN that the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the workforce can load their pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's email inbox. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to copy their original recording and the different versions for the different target systems.
Other deployment options
In order to get the most out of your investment, you have the following options:

The need for investment
The investment for the purchase of a photo booth optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
