What should be achieved?
The staff in your company have the opportunity to create and/or update their own employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the opportunity to always identify 100% with their own employee photo.
The staff photos can be automatically optimized to the best possible format, removed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box and read the instructions for the necessary actions on the display in a similar way to the passport photo machine.
The screen serves as a touch screen at the same time as an input terminal for the required data, e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data can simply be read from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the image can also be displayed.
After the photograph of the employee picture has been taken, the background of the recording can be automatically exchanged for one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the photograph taken with the internal employee data record. We would be happy to support your IT department in clarifying the connection.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place at the same time in different dimensions.
So you always have the right photo for
Outlook, Instagram, XING, the CRM system, Facebook, Twitter
etc. within easy reach.
Of course, each file can also be “personalized” with company logos and/or the name and position of the employee will be immediately included in the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the staff to get their picture as a file.
- Download via QR code from an offline gallery
The photobooth provides its own WLAN which the workforce has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which the staff can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.

At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download the original recording and the various formats for the various target systems.
Other deployment options
To get the most out of your purchase, you have the following options:

The cost frame
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
Customer ratings
Since the system was introduced in 2019, two systems have been set up permanently in Germany and Switzerland.
