The mission goal

The field staff in your company get the opportunity to photograph and/or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the opportunity to fully identify themselves at any time with their personal employee photo.

The personal photos are automatically optimized to the best possible format, irritating elements are removed from the background and, if desired, saved in different shapes and aspect ratios.

The solution

You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box and read the instructions for the necessary steps on the screen, as with the passport photo machine.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can simply be read from the company ID card. The data collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the image can also be set up.

After photographing the employee portrait, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned at a specified location on the final image.

The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the portrait taken with the internal employee data record. We would be happy to help your IT department define the import interface.

A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place in different sizes at the same time.

Of course, each file can also be “personalized” with logos and/or the employee's name and position can be visible on the image.

How does the employee get his picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to choose from to also receive his photo digitally.

1. Enter the email address at the end of the photo sequence.
   In this case, the photo taken will be sent directly to the employee's email address.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the sales representative can use to download the original recording and the various formats for the various target systems.
3. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN which the sales representative has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where the sales representative can download his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The cost frame

The price for purchasing a photobooth perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
