The use of a photo box for employee photos
The staff in your company have the opportunity to photograph and/or update their own employee photo at a fixed location or at rotating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the option to always fully identify themselves with their personal employee photo.
The personal photos can be independently cut to the ideal format, removed from disturbing elements in the background and optionally saved in different formats and aspect ratios.
A suggested solution
You can place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box and read the operating instructions for the necessary steps on the monitor, as with the passport photo machine.
The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read in immediately from the employee ID card. The data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a sharing option for internal/external use of the image.
After the photograph of the employee picture has been taken, the background of the photo can be automatically exchanged for one or many backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a specified position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the photographed portrait and the in-house employee data record takes place via the name of the picture. We would be happy to support your IT department in clarifying the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image can be output in many sizes at the same time.

Of course, each file can also be "branded" with company logos and/or the name and position of the employee can be immediately visible on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the workforce to get their photo as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to copy their original recording and the various versions for the various target systems. - Download via QR code from an offline gallery
The photobooth provides a private WLAN that the workforce has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the worker's mailbox.
Other deployment options
In order to make the most of your investment, you have the following options:
- Use at trade fairs to produce personalized “flyers”

The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for organizations with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is bought directly.
