What should be achieved?
The staff in your company get the opportunity to photograph and/or update the personal employee photo at a fixed or regularly changing location (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your workforce the chance to identify themselves completely around the clock with their own employee photo.
The personal photos can be automatically cut to the best possible format, freed from annoying elements in the background and optionally saved in many sizes and aspect ratios.
One possible solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photobooth in a similar way to a passport photo machine and see the operating instructions for the necessary steps on the screen.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information, e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen with a checkbox for internal/external use of the photo can also be set up.
After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). The file name is used to compare the photo taken with the internal employee data record. We would be happy to support your IT department in determining the import interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in different dimensions at the same time.
So you always have the right photo for

etc. lying ready.
Of course, each file can also be “branded” with the company logo and/or the name and position of the employee can be directly visible on the image.

How does the staff get their photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the workforce to choose from to also receive their picture digitally.
- Download via QR code from an offline gallery
The Photobooth provides its own WLAN, which the staff must dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to the offline gallery where the staff can load their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the staff can use to download their original photo and the different sizes for the different target systems.

To get the most out of your investment, you have the following options:

The need for investment
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
Customer ratings
Since the implementation of the system in 2019, two photo boxes have been permanently installed in Germany and Zurich.
