The mission goal

The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional employees are not required on site.
You give your staff the option to always identify themselves 100% with their own employee photo.

The personal photos are automatically cropped to the optimal format, removed from disturbing elements in the background and optionally saved in several dimensions and aspect ratios.

A suggested solution

You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, analogous to a passport photo machine, and read the instructions for the necessary actions on the monitor.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel number, first name, family name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the employee ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a release option for internal / external use of the recording.

After the employee portrait has been taken, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also identified, scaled to a specified size and positioned at a specified location on the final image.

The image is saved in a size and format you define (eg square for Active Directory). The name of the file is used to compare the portrait taken with the internal employee data record. We would be happy to help your IT department clarify the interface.

A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can be done in parallel in several sizes.

Logically, each file can also be “personalized” with the help of the company's logo and/or the employee's name and position will appear directly on the image.

How does the photographed person get the picture?

So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to get his photo as a file.

1. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee must dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which employees can download their recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
2. Entry of the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's e-mail inbox.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to load his original photo and the various formats for the different target systems.

Of course, there is also the opportunity to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
