What should be achieved?
The employees in your company get the chance to photograph and/or update the individual employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
Crucially, this is accomplished through a self-service process, eliminating the need for extra on-site human resources.
This gives your workforce the opportunity to always fully identify themselves with their own employee photo.
The personal photos are automatically optimized to the right format, freed from annoying elements in the background and saved in many dimensions and aspect ratios if desired.
The solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, similar to the photo booth, and see the instructions for the necessary steps on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the company ID card. The data recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be set up.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. The head is also identified for each photo, adjusted to a specified size and positioned at a specified location on the final image.
The photo is saved in a size and aspect ratio that you specify (eg square for Active Directory). The file name is used to compare the photo taken with the in-house employee data record. We would be happy to support your IT department in specifying the interface.
A biometric check and a cut to a biometric ID photo are available as options.
The image output can take place synchronously in various dimensions.
So you always have the right photo for
Twitter, Instagram, Outlook, XING, WhatsApp & Co, the CRM system, Facebook, LinkedIn
etc. within easy reach.
Of course, each file can also be “personalized” with the company logo and/or the employee's name and position will appear directly on the image.

How do the staff get their picture?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to choose to receive his picture digitally.
- Enter the e-mail address at the end of the photo sequence.
Then the captured photo is immediately sent to the worker's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the various sizes for the various target systems. - Download from an offline gallery via QR code
The photo box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which the employee can download his photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.

The cost frame
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
