The use of a photo box for employee photos
The employees in your company are given the opportunity to create and / or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that extra employees are not needed on site.
You give your employees the opportunity to always identify themselves to 100% with their personal employee photo.
The staff photos can be independently cut to the appropriate format, removed from disruptive elements in the background and, if desired, saved in several sizes and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo booth in the same way as with the passport photo machine and read the instructions for the required steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, first name, last name and / or date of birth.
Alternatively, the photobox can also be configured in such a way that the data can be read out directly from the employee ID. The employee data collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee report can also be displayed.
After the employee picture has been taken, the background of the recording can be automatically exchanged for one or more background settings you have specified. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format determined by you (e.g. square for the ActiveDirectory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to help your IT department clarify the import interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place synchronously in various dimensions.

Logically, each file can also be “personalized” with logos and / or the name and position of the employee can be directly on the picture.

How does the employee get his photo?
So that not only the CRM system or the ActiveDirectory comes into possession of the new recordings, there are three different ways for employees to get their photos digitally.
- Download from an online gallery
At the end of the recording, a code is displayed or printed out on the touchscreen, which the employee can use to copy down his or her original photo and the different sizes for the various target systems. - Entry of the email address at the end of the photo sequence.
The photo taken is then immediately sent to the employee's email inbox. - Download from an offline gallery via QR code
The photo box provides a private WLAN that the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the employee can save his recordings. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo booth.
