The use of a photo box for employee photos
The employees in your company have the option of creating and/or updating their personal employee photo at a fixed location or at a periodically changing location (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on the spot.
This gives your staff the option to identify themselves to 100% around the clock with their individual employee photo.
The staff photos can be independently adapted to the appropriate format, freed from disturbing elements in the background and, if desired, saved in different formats and aspect ratios.
The solution
You position a photobooth set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photobooth in the same way as with the passport photo machine and see the operating instructions for the necessary actions on the screen.
The screen serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. Personnel number, first name, surname and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data is read in immediately from the company ID card. The information recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee profile can also be displayed.
After photographing the employee picture, the background of the recording can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the recorded image and the internal employee data record via the file name. We would be happy to help your IT department determine the connection.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can happen in several dimensions at the same time.
So you always have the right photo for
XING, Twitter, LinkedIn, Outlook, Facebook, the CRM system, WhatsApp & Co
etc. are available.
Of course, each file can also be “personalized” by means of a company logo and / or the name and position of the employee can be immediately visible on the picture.

How does the photographed person get his picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to choose from to get his photo digitally as well.
- Entry of the email address at the end of the photo sequence.
In this case, the photo taken is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to load his original image and the various sizes for the various target systems. - Download from an offline gallery via QR code
The photo box provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code will appear on the screen. This QR code leads to the offline gallery where the employee can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The cost frame
The price for purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and is already worthwhile for organizations with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.

Since the system was introduced in 2019, two photo boxes have been permanently installed in this country and in Zurich.
