What should be achieved?

The employees in your company have the opportunity to photograph and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your employees the option to fully identify themselves at any time with their personal employee photo.

The personal photos are automatically cut to the right format, freed from annoying elements in the background and saved in a number of formats and aspect ratios if desired.

A suggested solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box and read the instructions for the necessary steps on the screen, just like with the passport photo machine.

The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be set up in such a way that the data can be read immediately from the company ID card. The data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be displayed.

After photographing the employee portrait, the background of the photo can be automatically exchanged for one or various backgrounds specified by you. The head of each photo is also identified, scaled to a specified size and positioned at a defined point on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the saved image and the in-house employee data record takes place via the file name. We would be happy to help your IT department clarify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image can be output in various sizes at the same time.
So you always have the best photo for
LinkedIn, WhatsApp & Co, Facebook, the CRM system, XING, Instagram, Outlook
etc. at hand.

Of course, each file can also be “branded” with the help of the logo and/or the name and position of the employee will be visible on the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to choose to also receive his photo digitally.

1. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's e-mail address.
2. Download via QR code from an offline gallery
   The photobox provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery where the employee can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download his original photo and the various formats for the different target systems.

The need for investment

The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is already worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
