The use of a photo box for employee photos
The employees in your company get the chance to photograph and/or update the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that you do not need extra staff on site.
You give your staff the chance to identify themselves to 100% around the clock with their individual employee photo.
The staff photos are automatically adjusted to the optimal format, freed from disturbing elements in the background and optionally saved in various formats and aspect ratios.
One possible solution
You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box like in a passport photo machine and see the operating instructions for the necessary actions on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the company ID card. The information collected in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the photo.
After the employee picture has been taken, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio defined by you (eg square for Active Directory). The file name is used to compare the saved photo with the in-house employee data record. We would be happy to help your IT department define the connection.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image can be output in many sizes at the same time.

Of course, each file can also be "branded" with company logos and/or the name and position of the employee can also be visible on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the employee to choose from to get his photo as a file.
- Enter the email address at the end of the photo sequence.
The captured photo is immediately sent to the employee's email address. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed, which the employee can use to copy his original photo and the various versions for the various target systems. - Download via QR code from an offline gallery
The Photo Box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code will appear on the screen. The QR code leads to the offline gallery where the employee can load his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

The cost frame
The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
