What should be achieved?
The employees in your company are given the opportunity to create and/or update their individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that extra employees are not needed on site.
You give your workforce the opportunity to identify themselves to 100% around the clock with their personal employee photo.
The personal photos are automatically cropped to the best possible format, irritating elements are removed from the background and, if desired, saved in different sizes and aspect ratios.
A suggested solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box and read the operating instructions for the necessary actions on the touchscreen, just like with a passport photo machine.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data is read directly from the employee ID card. The employee data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the image.
After photographing the employee picture, the background of the photo can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also identified, scaled to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). The name of the picture is used to compare the portrait taken with the internal employee data set. We would be happy to support your IT department in clarifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place simultaneously in different formats.
So you always have the ideal photo for
LinkedIn, Outlook, Facebook, Twitter, XING, the CRM system, Instagram
etc. are available.
Logically, each file can also be “personalized” with company logos and/or the name and position of the employee can be directly visible on the image.

How do the staff get their picture?
To ensure that the CRM system or Active Directory alone does not get hold of the new photos, the employee has three different ways of getting his photo digitally.
- Download via QR code from an offline gallery
The photo box provides its own WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where the employee can download his photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to load his original photo and the various versions for the different target systems. - Enter the e-mail address at the end of the photo sequence.
In this case, the captured photo is sent directly to the employee's mailbox.
Alternative uses
To get the most out of your purchase, you have the following options:
- Use at employee parties (summer party, Christmas party ...}
- Employee photos (as explained above)
- Photo attraction at customer events & congresses
- Pictures of groups of visitors, e.g. after a lecture
- Recording of biometric passport photos and ID photos
The cost frame
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the opportunity to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
recommendations
Since the system was implemented in 2019, two systems have been permanently set up in Germany and Switzerland.
Both at WWZ AG in CH and at Haufe Lexware, the system is very well received by employees.
