The use of a photo box for employee photos
The employees in your company have the option of creating and/or updating the individual employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your staff the chance to always fully identify themselves with their personal employee photo.
The personal photos can be automatically optimized to the optimal format, freed from disturbing elements in the background and optionally saved in many sizes and aspect ratios.
A suggested solution
You place a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo booth and see the instructions for the necessary actions on the display, similar to the photo booth.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read directly from the business card. The employee data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a privacy screen may also appear with a sharing option for internal/external use of the photo.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the stored portrait and the internal employee data record via the name of the picture. We would be happy to support your IT department in specifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place at the same time in different dimensions.
So you always have the perfect photo for
the CRM system, WhatsApp & Co, Instagram, Twitter, Outlook, XING
etc. within easy reach.
Of course, each file can also be “branded” with logos and/or the name and position of the employee can be visible on the image.
Special advantages of automatic photo processes for professional employee photos
- Worker photos according to your corporate design
- RAW data can also be saved if required
- Optimized throughput speed if many employees are to be photographed in a short period of time
- Independently created professional staff photos in the best DSLR quality and studio flash technology
- the employee photo box is noticeably cheaper than a booked photographer
- Extra data acquisition before or during the recording sequence
- minimized work time
How did the staff get the photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new recordings, there are three different ways for the employee to choose from to also receive their picture as a file.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox. - Download via QR code from an offline gallery
The Photobox provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the employee can download his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the different sizes for the various target systems.
Further deployment options
To get the most out of your investment, you have the following options:
- Photo attraction at customer events & meetings
- Use at trade fairs to issue personalized “flyers”
- Photos of groups of visitors, e.g. after a lecture
- Production of biometric passport photos and ID photos
- Employee photos (as already described)
The cost frame
The price for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worth it for companies with around 100 or more employees.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
Customer ratings
Since the system was implemented in 2019, two systems have been set up permanently in Germany and Switzerland.
Both at WWZ AG in CH and at Haufe Lexware, the system is very well received by employees.
