The use of a photo box for employee photos
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that no extra personnel is needed on site.
You give your employees the chance to identify themselves to 100% around the clock with their personal employee photo.
The personal photos are automatically adapted to the appropriate format, freed from disturbing elements in the background and optionally saved in several shapes and aspect ratios.
The solution
You place a photo booth optimized for employee photos in your company (e.g. in the personnel department, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the touchscreen, similar to a photo booth.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The information collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.
After photographing the employee portrait, the background of the photo can be automatically exchanged for one or many backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and positioned at a defined position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The file name is used to compare the photograph taken with the in-house employee data record. We would be happy to support your IT department in specifying the interface.
A biometric check and a cut to a biometric ID photo are available as an option.
The image output can happen in various formats at the same time.

Of course, each file can also be "personalized" with company logos and/or the name and position of the employee will also be visible on the image.

How does the employee get his picture?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the employee to get his photo as a file.
- Download from an offline gallery via QR code
The photo box provides a private WLAN which the employee must dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the employee can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the touch screen or printed, which allows the worker to download his original photo and the different formats for the different target systems. - Entry of the email address at the end of the photo sequence.
The photo taken is then immediately sent to the employee's email inbox.

The need for investment
The price for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
