What should be achieved?

The employees in your company have the opportunity to create and / or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional staff are not needed on site.
You give your employees the option to fully identify themselves at any time with their own employee photo.

The staff photos are automatically cut to the best possible format, removed from annoying elements in the background and optionally saved in many sizes and aspect ratios.

Our proposed solution

You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit down in front of the photo box, similar to the passport photo machine, and read the instructions for the necessary steps on the monitor.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photobox can also be programmed in such a way that the data can be read directly from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the photo can also be displayed.

After the photograph of the employee portrait, the background of the recording can be automatically replaced with one or more of your specified backrounds. The head is also determined for each photo, scaled to a specified size and placed on the final image at a defined position.

The recording is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the photographed image and the internal employee data record. We would be happy to help your IT department define the connection.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can happen in different dimensions at the same time.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee can also be visible on the picture.

How does the employee get the photo?

So that the CRM system or the ActiveDirectory alone does not benefit from the new photos, employees can choose between three different ways to receive their photo digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download the original image and the different formats for the various target systems.
2. Enter the e-mail address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's e-mail inbox.
3. Download via QR code from an offline gallery
   The photobox provides a private WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. That QR code leads to the offline gallery in which the employee can download his pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

Other deployment options

In order to make the best possible use of the purchase, you have the following options:

The need for investment

The price for the purchase of such a perfected photo box starts at around 4,400 € plus VAT and is worthwhile for organizations with around 100 employees.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.
