What should be achieved?
The field staff in your company get the opportunity to photograph their own employee photo and/or update it at a fixed location or at a periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your staff the chance to always fully identify themselves with their individual employee photo.
The personal photos can be independently cut to the ideal format, removed from annoying elements in the background and, if desired, saved in certain dimensions and aspect ratios.
The solution
You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, analogous to a passport photo machine, and see the instructions for the necessary steps on the screen.
The screen serves as a touchscreen in parallel as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The information collected in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the employee portrait can also be set up.
After photographing the employee portrait, the background of the image can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is analyzed, adjusted to a specified size and positioned at a defined point on the final image.
The recording is saved in a size and format you specify (eg square for Active Directory). A comparison between the stored portrait and the internal employee data record takes place via the name of the file. We would be happy to help your IT department define the interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can be done synchronously to some extent.
So you always have the best photo for
the CRM system, Facebook, XING, Outlook, WhatsApp & Co, LinkedIn
etc. are available.
Of course, each file can also be “personalized” with the company logo and/or the employee's name and position can be immediately included in the image.

How does the employee get his photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to get his photo digitally.
- Enter the email address at the end of the photo sequence.
The captured photo is sent directly to the employee's email inbox. - Download via QR code from an offline gallery
The photo box provides a private WLAN which the sales representative must dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to the offline gallery where the sales representative can download his recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the sales representative can use to download his original photo and the various sizes for the various target systems.
Alternative deployment options
In order to get the most out of your investment, you have the following options:
- Creation of biometric passport photos and ID photos

The cost frame
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
