What should be achieved?
The field staff in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at alternating locations (e.g. in the casino or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the option to always fully identify themselves with their individual employee photo.
The personal photos can be automatically adjusted to the optimal format, removed from disturbing elements in the background and optionally saved in many sizes and aspect ratios.
A suggested solution
You place a photo booth perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and see the instructions for the necessary actions on the touchscreen, just like with the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read directly from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the image.
After photographing the employee portrait, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a specified location on the final image.
The image is saved in a size and aspect ratio you define (eg square for Active Directory). The name of the file is used to compare the photographed portrait with the in-house employee data record. We would be happy to help your IT department specify the connection.
A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can happen simultaneously to some extent.

Of course, each file can also be “branded” with the company logo and/or the employee's name and position will be visible directly on the image.

How does the employee get their photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, the sales representative can choose from three different ways of also receiving his photo as a file.
- Download via QR code from an offline gallery
The photobox provides its own WLAN which the field service employee has to dial into.
At the end of the recording, a QR code will appear on the screen. This QR code leads to the offline gallery where the sales representative can copy his pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email inbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original photo and the different versions for the various target systems.
Other possible uses
In order to make the best possible use of your investment, you have the following options:

The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
