The use of a photo box for employee photos
The employees in your company are given the opportunity to photograph and/or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your staff the chance to identify themselves 100% with their personal employee photo.
The personal photos can be cut to the best format by machine, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You place a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo booth and see the operating instructions for the necessary actions on the monitor, as with the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo booth can also be set up in such a way that the data can be read directly from the company ID card. The information collected in this way is later part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a confirmation option for internal/external use of the image.
After the employee picture has been taken, the background of the picture can be automatically exchanged for one or different backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned in a defined position on the final image.
The image is saved in a size and aspect ratio that you specify (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the file name. We would be happy to help your IT department specify the interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place in many forms at the same time.
So you always have the best photo for

Of course, each file can also be "branded" with logos and/or the name and position of the employee can be visible on the image.

How does the photographed person get the picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the employee to get his picture as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the employee can copy his recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
The captured photo is sent immediately to the employee's mailbox. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to copy their original photo and the different formats for the various target systems.

The cost frame
The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over directly.
