The mission goal
The employees in your company are given the option of photographing and/or updating their own employee photo at a fixed location or at a rotating location (e.g. in the casino or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional employees are not needed on site.
You give your staff the opportunity to identify themselves around the clock to 100% with their own employee photo.
The personal photos are automatically cut to the ideal format, freed from disturbing elements in the background and optionally saved in various dimensions and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary actions on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read directly from the business card. The information recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the recording can also be displayed.
After the employee portrait has been taken, the background of the recording can be automatically replaced with one or different backgrounds specified by you. Likewise, the head of each photo is analyzed, adjusted to a specified size and positioned at a defined point on the final image.
The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the photographed image and the internal employee data record takes place via the file name. We would be happy to help your IT department determine the connection.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in different formats at the same time.
So you always have the best possible photo for

Of course, each file can also be "branded" with the company logo and/or the name and position of the employee can be included in the image.

How did the staff get the photo?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for the employee to get his photo digitally.
- Entry of the email address at the end of the photo sequence.
In this case, the photo taken is immediately sent to the employee's e-mail address. - Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download his original image and the various sizes for the different target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code will appear on the screen. The QR code leads to an offline gallery from which the employee can download his photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.
Alternative uses
In order to get the most out of your investment, you have the following options:

The need for investment
The investment for the acquisition of such a perfected photo box starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.

Since the system was implemented in 2019, two photo boxes have been set up permanently in Germany and in Zurich.
