The use of a photo box for employee photos

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your teams the option to identify themselves at any time to 100% with their individual employee photo.

The personal photos are independently cut to the ideal format, removed from disturbing elements in the background and, if desired, saved in certain shapes and aspect ratios.

One possible solution

You place a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, just like with a passport photo machine, and read the instructions for the necessary steps on the display.

The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The employee data collected in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal/external use of the employee portrait can also be set up.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also identified, scaled to a specified size and placed in a defined position on the final image.

The recording is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the saved image and the internal employee data record via the name of the file. We would be happy to help your IT department specify the interface.

A biometric check and an adaptation to a biometric ID photo are also available.
The image output can take place in several dimensions at the same time.

Of course, each file can also be “branded” with company logos and/or the employee's title and position will be included directly on the image.

How does the employee get the picture?

So that the CRM system or Active Directory alone does not get hold of the new pictures, there are three different ways for employees to get their picture as a file.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download his original photo and the various formats for the various target systems.
2. Enter the e-mail address at the end of the photo sequence.
   The captured photo is immediately sent to the employee's mailbox.
3. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN, which the employee must dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where the employee can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

The need for investment

The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.
