What should be achieved?
The field staff in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at rotating locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not required on site.
This gives your staff the option to fully identify themselves at any time with their own employee photo.
The staff photos can be cut to the best possible format, freed from annoying elements in the background and saved in various dimensions and aspect ratios if desired.
One possible solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to the photo booth, and see the instructions for the necessary actions on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is read in immediately from the company ID card. The data collected in this way is then subsequently an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.
After photographing the employee picture, the background of the picture can be automatically exchanged for one or various backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a specified position on the final image.
The photo is saved in a size and format defined by you (eg square for Active Directory). A comparison is made between the recorded image and the internal employee data record via the name of the file. We would be happy to help your IT department clarify the import interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in different formats at the same time.

Of course, each file can also be “branded” using the logo and/or the employee's name and position will be immediately visible on the image.

How does the photographed person get the picture?
So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the sales representative to get his picture as a file.
- Download via QR code from an offline gallery
The photobox provides a private WLAN which the sales representative has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which the sales representative can copy his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.

At the end of the sequence, a code is displayed on the screen or printed out, which the field worker can use to load his original recording and the various formats for the various target systems.
Alternative deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Photos of groups of visitors, for example after a presentation

- Photo attraction at customer events & meetings

The cost frame
The investment for the purchase of a photobooth perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased directly.
