What should be achieved?
The staff in your company are given the opportunity to photograph and/or update their personal employee photo at a fixed location or at periodically changing locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your teams the opportunity to identify themselves to 100% at any time with their own employee photo.
The staff photos are automatically adjusted to the best possible format, freed from disturbing elements in the background and optionally saved in a number of sizes and aspect ratios.
A suggested solution
You place a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and see the instructions for the necessary steps on the touchscreen, just like with the passport photo machine.
The screen serves as a touchscreen in parallel as an input terminal for the necessary information such as B. Personnel number, first name, family name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The information recorded in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a confirmation option for internal / external use of the employee profile.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the photographed portrait and the in-house employee data record via the name of the file. We would be happy to support your IT department in specifying the connection.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place synchronously in several sizes.

Of course, each file can also be “personalized” with a company logo and/or the employee's name and position can be visible on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the workforce to choose from to get their photo digitally as well.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to load their original photo and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is then sent to the employee's email address. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the workforce has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which the workforce can download their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over immediately.
