The use of a photo box for employee photos
The employees in your company get the opportunity to create and/or update the individual employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to always identify themselves to 100% with their personal employee photo.
The staff photos are automatically cut to the appropriate format, freed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
A suggested solution
You place a photo box perfect for employee photos in your company (e.g. in the personnel department, at the ID office or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees will sit down in front of the photo box, analogously to a passport photo machine, and see the instructions for the necessary actions on the screen.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data is read directly from the employee ID card. The data collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the image.
After the photograph of the employee picture has been taken, the background of the recording can be automatically exchanged for one or many backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.
The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the file. We would be happy to help your IT department define the connection.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in various dimensions at the same time.

Of course, each file can also be “personalized” with company logos and/or the name and position of the employee will be immediately visible on the image.

How did the staff come to the picture?
So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to get his photo digitally.
- Download from an offline gallery via QR code
The photobox provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery where employees can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download his original photo and the different sizes for the different target systems. - Enter the email address at the end of the photo sequence.
In this case, the photo taken is immediately sent to the employee's e-mail inbox.
Alternative deployment options
To get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 or more employees.
Of course there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
