The use of a photo box for employee photos

The employees in your company have the option of creating and/or updating the individual employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra staff on site.
This gives your workforce the option to always fully identify themselves with their personal employee photo.

The personal photos can be automatically adjusted to the best possible format, freed from disturbing elements in the background and optionally saved in many dimensions and aspect ratios.

The solution

You position a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photobooth in a similar way to a passport photo machine and read the instructions for the necessary actions on the screen.

The monitor serves as a touch screen in parallel as an input terminal for the required information, e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read immediately from the company ID card. The data recorded in this way will later become an element of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal / external use of the image can also be displayed.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned in a specified position on the final image.

The image is saved in a size and format you specify (eg square for Active Directory). A comparison between the stored image and the in-house employee data record takes place via the name of the file. We would be happy to help your IT department specify the import interface.

A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can take place in several formats at the same time.
So you always have the best photo for
the CRM system, Twitter, XING, LinkedIn, Facebook, Instagram, WhatsApp & Co, Outlook
etc. ready.

Logically, each file can also be “branded” using the company logo and/or the employee's name and position can be immediately visible on the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employees to get their picture digitally.

1. Download from an online gallery
   At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the various formats for the different target systems.
2. Download via QR code from an offline gallery
   The Photobox provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code will appear on the screen. That QR code leads to the offline gallery from which employees can download their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's e-mail inbox.

Additional uses

In order to make the best possible use of the acquisition, you have the following options:

• Use at trade fairs to produce personalized “flyers”
• Photo attraction at customer events & meetings
• Photos of groups of visitors, e.g. after a tour
• Employee photos (as already explained)
• Recording of biometric passport photos and ID photos

The cost frame

The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
