What should be achieved?
The employees in your company get the opportunity to create and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your staff the chance to identify themselves 100% with their personal employee photo.
The personal photos are automatically cut to the appropriate format, freed from annoying elements in the background and, if desired, saved in various formats and aspect ratios.
A suggested solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card or at the entrance in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary actions on the screen.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be presented with a checkbox for internal/external use of the image.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a specified position on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the file name. We would be happy to help your IT department specify the import interface.
A biometric check and an adaptation to a biometric ID photo are also available.
The image can be output in different formats at the same time.

Of course, each file can also be “branded” with logos and/or the name and position of the employee can be immediately visible on the image.

How does the photographed person get the photo?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for employees to receive their photos digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the company employee can use to download the original photo and the different sizes for the different target systems.
- Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which employees can copy their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
- Enter the e-mail address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox.
Other possible uses

The cost frame
The cost of purchasing a photobooth perfected in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 or more employees.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
