The mission goal
The field staff in your company have the option of creating and/or updating their personal employee photo at a fixed location or at locations that change on a regular basis (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to identify themselves completely around the clock with their own employee photo.
The personal photos are automatically adapted to the appropriate format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You place a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and see the instructions for the necessary steps on the display, as with the passport photo machine.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can simply be read from the business card. The data collected in this way is then part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a confirmation option for internal/external uses of the image.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and format specified by you (eg square for Active Directory). A comparison between the stored portrait and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in clarifying the interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image can be output in different forms at the same time.
So you always have the right photo for
LinkedIn, WhatsApp & Co, XING, Outlook, Instagram, Facebook
etc. lying ready.
Of course, each file can also be “personalized” with logos and/or the name and position of the employee can appear directly on the image.

How do the staff get their picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to get his photo digitally.
- Download from an offline gallery via QR code
The photobox provides a private WLAN which the sales representative has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery in which field workers can save their recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
- Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the sales representative can use to download his original photo as well as the different versions for the different target systems.
In order to make the best possible use of the acquisition, you have the following options:
- Recording of biometric passport photos and ID photos
- Employee photos (as already described)
- Use at trade fairs to issue personalized “flyers”
- Use at sales force parties (summer party, Christmas party ...}
- Recordings of groups of visitors, e.g. after a tour of the company
- Photo attraction at customer events & meetings
The need for investment
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.
Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
Both at WWZ AG in Switzerland and at Haufe Lexware, the system is very well received by employees.
