What should be achieved?
The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra personnel are not needed on site.
You give your employees the option to identify themselves at any time to 100% with their individual employee photo.
The staff photos are automatically adjusted to the right format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.
A suggested solution
You place a photobox set up for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit down in front of the photo box and see the instructions for the necessary steps on the monitor, just like with the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the employee ID card. The data recorded in this way will later become an element of the file name of the employee photo taken.
Optionally, a privacy screen can be set up with a sharing option for internal/external use of the photo.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and positioned at a specified location on the final image.
The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the name of the picture. We would be happy to help your IT department define the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in parallel in many sizes.

Logically, each file can also be “branded” with a company logo and/or the name and position of the employee can be immediately included in the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory can benefit from the new recordings, there are three different ways for the employee to choose from to also receive their picture as a file.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery from which the employee can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's e-mail inbox.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to load his original photo and the different formats for the various target systems.
Other deployment options
In order to use the investment ideally, the following application options are open to you:
- Recordings of groups of visitors, e.g. after a tour
- Use at trade fairs to issue personalized “flyers”
- Photo attraction at customer events & meetings

The need for investment
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
Since the system was introduced in 2019, two systems have been set up permanently in Germany and Switzerland.
